Invite and Onboard Someone
The two ways a person gets an account, what happens on their first sign-in, and how to help them through it.
Two Ways In
- Through the intake. They apply at
/apply, you accept, the invitation goes out. This is the normal path and the only one that fills in their profile for them. See Review an Application. - By direct invitation. You invite an email address with a chosen role, skipping the form. Use it for staff, for people you already know, or to re-send a lost invitation.
Sign-up is invitation only. There is no open sign-up page.
Invite Directly
Open Settings, Members
Under Workspace in the Settings rail. The page is titled Manage Members.
Click Invite
The dialog is Invite Someone: "They'll get an email to set up their account, and arrive with the access you choose here."
Fill it in
- Email address
- Access: Member ("Joins the program in one or more of the roles below"), Admin ("Impact Hub staff. Runs the program"), Developer (build team). An admin can grant Admin or Member.
- Roles (for a Member): Founder, Mentor, Volunteer, Partner. Investor is listed but not yet grantable.
Click Send Invitation
Toast: "Invitation Sent: {email} will get an email to set up their account." Any older pending invitation for that address is withdrawn first, so sending again is safe.
Shortcuts. The + button beside Overview in the rail offers Add Admin, Add Founder, Add Mentor and Add Volunteer, which open the same dialog with the role already chosen. Settings, Team and Roles, Invite offers staff roles only.
What Happens Next
| Moment | What the platform does |
|---|---|
| Invitation sent | Clerk emails the link. The invitation and its state show in Clerk's dashboard under Users, Invitations. |
| They create the account | The member record is created with the role. If they applied through the intake, their profile, name and (for a partner) organization are filled from the application. |
| First sign-in | The account becomes Active. The Welcome email goes out if it is switched on under Email Templates (it is off until you turn it on). |
| First page | The Overview, with a readiness list of what is still needed to be matched, and the first-run tour. |
Helping Someone Who Is Stuck
- No email arrived. Check spam first. Then Settings, Members: if they are not listed, the invitation was never created; invite again. Clerk's dashboard shows whether the email was sent.
- The link says it expired or was used. Invite again from Settings, Members. The old link is withdrawn and a fresh one is sent.
- They signed in and see almost nothing. Their account has no role. Open Settings, Members, find them, Change Access, set the role. See Members and Roles.
- They signed up with a different email than the one invited. Clerk ties the invitation to the address. Ask them to sign in with the invited address, or invite the one they used.
Partners
A partner's organization is brought onto the platform automatically when their account is created from an accepted partner application, with them as its administrator. To bring an organization on without an application, use Applications, Partner Invitations (see Businesses and Organizations).
Adding a Second Role to an Existing Member
Either accept a second application from them (the capability is added to their account), or open Settings, Members, Change Access, and tick the extra role.
