Email Templates
Every email the platform sends is a template you can edit, switch off, test, and restore. Here is how.
Where
Settings, Email Templates: "Every message the platform sends, and what causes it to send. Open one to change its wording."
Templates are grouped: Applications, Office Hours, Events, Staying In Touch, Internal. Each card shows the name, what triggers it, who receives it, and how many times it has been sent. Badges: Edited when the wording has been changed, Off when it is switched off.
Some messages have two variants that are edited separately, for example Session Booked, to the mentor and Session Booked, to the founder, or Event Reminder, to people going and Event Reminder, to people who have not answered.
Edit One
Click the card
The editor opens, titled with the variant's name. The description says who receives it and how many times it has been sent.
Change the Heading, Subject or Body
Insert a field drops in a placeholder such as the person's first name, the event title or the session time. Blocks insert larger pieces such as the session details. The Preview on the right updates as you type.
Click Send Me a Test
The email arrives in your own inbox with sample values.
Click Save
Toast: "Email Saved: New sends use this wording from now."
A line under the title says "Original wording. Nobody has edited this yet." or "Edited {date} by {name}."
Switch One Off
The Send this email switch at the top of the editor. When off, the platform records that it would have sent the email and sends nothing. Save after changing it.
The Welcome email starts off. Turn it on once the wording is right; it goes to every member on their first sign-in from then on.
Versions
The Versions section lists Original wording and every saved version with its date and author. Restore on any row saves it as the new current version (so the history is never lost). Restore is disabled while you have unsaved edits.
What You Cannot Change Here
- Clerk's own emails: the invitation link, sign-in codes, password resets. Those are set in Clerk's dashboard. Restyled versions exist in the repository but the current Clerk plan does not allow custom templates.
- Announcements: written per send under Announcements.
- The sender address:
Impact Hub Houston <info@impacthubos.com>, set by an environment variable on the server.
Delivery
Every send is logged with its status. Resend's dashboard shows delivery, bounces and opens per message. See the Runbooks for "an email did not arrive".
Who Receives Broadcasts
Announcements and digests go only to members who have signed in at least once. Imported contacts and people who were invited but never joined receive nothing. This rule exists because of a real incident during the build, and it is not a setting.
